HNPW guide for session organizers
Participant-scanning in face-to-face sessions

Session organizers can scan attendees in their face-to-face sessions.

Scanned participants will be shown as “attendee” in the session participant list (which can be retrieved for the session registration form from the left menu “Participants”) .

Kindly note that session organizers are responsible to organize the attendance scanning using own laptops or smart phones.

Considerations:

  • Attendance scanning can be set up at the entrance(s) of the meeting room or at the podium (in small rooms or if not enough staff to be placed at all entrances in large rooms)
  • If a laptop is set up for scanning, participants can be requested to scan their own e-badges when entering the room
  • During thee breaks and at the closing, participants who have not scanned their attendance may be reminded to so before moving on
  • Speakers, VIP, or other participants can be added “manually” as attendee to the participant list at a later stage.
